Vacancy: Asset Administrator (15-Month Contract)

Caledonian Maritime Assets Limited (CMAL) owns vessels and harbour infrastructure necessary for vital ferry services serving many communities throughout Scotland. We have big ambitions to transform Scotland’s ferry network. We are looking for an enthusiastic, innovative individual to join us to support the maintenance of safe, efficient, reliable ports and harbours that serve Scotland’s islands.
We are recruiting an Administrator to work with the Harbour Assets Team for a fixed-term 15-month contract.
The role
The role is to provide a range of administrative and organisational support to the Harbour Assets Team, assisting with the transition to a new SharePoint records management environment and providing additional support for our new asset management system. This will include reviewing documents such as reports, drawings, and project information, as well as data migration and records management.
- The role will support the team in the creation and maintenance of asset records, including data entry, document control, and records management.
- Support the departmental SharePoint site as a Super User, creating folders, reviewing data archives, migrating data and records and providing system support to the wider team.
- Review and document processes, ensuring they are kept up to date and system changes are reflected.
- Work with our colleagues at CalMac to provide information and documents.
Who are we looking for?
We are looking for a motivated, professional, and diligent individual with a proactive and creative approach to problem-solving and the ability to work autonomously and flexibly. We are particularly looking for someone with the following skills, experience, and attributes:
- Essential to have experience in administrative, organisational and technical support within a professional office environment, preferably quality assured.
- Essential experience and competence in the use of Microsoft Office programmes, SharePoint and data management systems.
- Dedicated team player who is capable of building strong, effective relationships.
- Preferably experience in managing technical records, such as drawings, reports and information.
- Preferably an office administration or business qualification and related experience in a relevant role.
- The role may require occasional attendance at meetings or events in the evening or at weekends, therefore a flexible approach to work would be preferable.

The work environment
The role is based in our head office on the Clyde Estuary, in Port Glasgow, with some flexible remote working as mutually agreed to ensure we have the best people working with us to serve the communities that rely on our infrastructure.
